Job Description
- The Application Specialist � Administrative Systems is responsible for the day-to-day
- management, support, and continuous improvement of core administrative and ERP systems
- within the organization. This role serves as a key liaison between business units and IT, ensuring
- that systems such as finance, HR, student information, procurement, or facilities management
- platforms are fully functional, secure, integrated, and aligned with institutional goals.
- Qualifications:
- Bachelor�s degree in Computer Science, Information Systems, or a related field.
- 3�5 years of experience supporting and managing enterprise administrative systems.
- Strong understanding of business functions such as HR, finance, procurement, and
- administration services.
- Experience with ERP systems such as Oracle EBS, Fusion, Odoo or similar.
- Familiarity with system integration tools, APIs, and data synchronization best practices.
- Proficiency in writing queries, reports (e.g., SQL, Power BI), and basic scripting.
- Strong problem-solving, analytical, and communication skills.
- Ability to manage multiple systems, priorities, and stakeholders.
- Key Responsibilities:
- System Management:
- Administer, configure, and maintain ERP and administrative systems (e.g., HRMS,
- Finance, Facilities Systems, Procurement, etc.).
- Monitor system health, performance, and availability; troubleshoot and resolve issues
- proactively.
- Coordinate upgrades, patches, and system enhancements in collaboration with vendors
- and internal teams.
- Ensure data integrity, security, and compliance across all systems.
- User Support & Training:
- Serve as the primary point of contact for user support, issue resolution, and change
- requests.
- Provide technical and functional support to business users and departments.
- Develop and deliver training materials, user guides, and workshops.
- Business Analysis & Process Improvement:
- Work closely with stakeholders to understand business processes and identify
- opportunities for automation and optimization.
- Translate functional requirements into technical specifications for customizations or
- integrations.
- Participate in process reengineering initiatives using system capabilities.
- Integration & Reporting:
- Support integration between administrative/ERP systems and other enterprise platforms�
- Coordinate with development teams or integration specialists to build or maintain API-
- based or batch integrations.
- Generate custom reports, dashboards, and queries to support operational and strategic
- decision-making.
- Project Involvement:
- Participate in the planning, testing, and rollout of new systems, modules, or
- functionalities.
- Lead or support ERP-related projects, system migrations, or cross-functional
- implementations.
- Preferred Skills (Optional):
- Experience working in higher education, government, or large enterprise environments.
- Knowledge of DevOps practices for system deployment and monitoring.
- Familiarity with ITIL framework and service management tools.
- Certification in ERP platforms or business process modeling.
